Systems and Automations

Setting up systems and automations for businesses is often a bespoke task. It could be:

  • Creating an automated workflow for onboarding and offboarding your clients
  • Getting two programs to speak to each other and saving you the manual job of copying information
  • Setting up recurring invoices that go to your clients without you lifting a finger
  • Setting up a new program such as Dubsado, Mailerlite or Freeagent. Because you know you want it but just don't have the time to get it all ready to go.

FAQs

Virtual Assistants (VA) at The Admin Den can save you time, reduce overwhelm, and help your business grow by taking care of the behind-the-scenes admin you never seem to have enough hours for.

> Free up your time: A VA takes over time-sapping tasks like email newsletters, social media scheduling, and podcast editing, so you don’t burn out managing daily admin.

> Get more done without hiring staff: Rather than paying for a full-time employee, you only pay for the hours or support you need, this keeps your small business costs down and gives you flexible support.

> Keep your business organised: Whether it’s setting up systems in Notion, or creating lead magnets & automations, a VA helps turn chaos into structure so you stay on top of your workload.

> Boost your visibility consistently: With help scheduling engaging content and managing email campaigns, you build stronger audience engagement, grow your brand, and stay top-of-mind with customers.

> Balance work and life: Delegating operational tasks restores your work–life balance, so you can show up for both your business goals and your family without feeling overwhelmed.
Getting started with The Admin Den is simple, secure and guided each step of the way. If you’re a busy small business owner ready to delegate, here’s exactly what happens:

1. Make an enquiry
Start by getting in touch via my contact form. Tell me a little about your business and the support you’re looking for, whether that’s email marketing, newsletter management, social media scheduling, workflow systems, or general business admin support.

2. Book your free 30-minute discovery call
We’ll have a relaxed, no-pressure chat to discuss your business, your current systems, and where you’re feeling overwhelmed. This call helps me understand exactly what kind of services will make the biggest impact in your small business.

3. Receive your tailored quote
After our call, I’ll send you a clear, personalised quote outlining the scope of work and pricing. No hidden extras, just pricing based on what you actually need.

4. Accept the quote & complete onboarding
Once you’re happy to move forward, I’ll send over:

- A contract
- A Data Processing agreement (this covers GDPR protections)
- Your first invoice

When everything is signed and paid, we’re officially a team.

5. Secure system access
To get started, I’ll need access to the relevant platforms, whether that’s your email marketing software, social media accounts, Notion workspace, or other business tools.
Access is handled securely using a trusted password manager and/or by adding me as a user to your systems. Your data and client information are always treated with strict confidentiality and GDPR compliance.

6. We get to work (and the stress starts disappearing)
Once access is sorted, I begin implementing the agreed tasks (whether that’s streamlining your workflows, scheduling content, managing newsletters, or automating your business).
You’ll start to notice:

- Fewer weekends at your desk
- Shorter To Do lists
- More structure in your business
- Less time processing admin instead of working
- And more time back for the work (and life) you actually enjoy

In short, The Admin Den makes it easy to delegate business admin, improve systems, reduce overwhelm and create sustainable growth...without the faff.
Yes. Especially if you need support but aren’t ready or have any desire to hire an employee.

Working with a Virtual Assistant like The Admin Den gives you professional business support without the financial and legal responsibilities of employing staff.

Hiring an employee means paying for:
- Employer National Insurance
- Pension contributions
- Paid holiday
- Sick pay
- Payroll and HR management

With a Virtual Assistant, you only pay for the agreed hours or projects completed. There are no holiday costs, sick pay, or employment liabilities. And no paying for tea breaks either!

- Flexible, scalable support: Most small businesses don’t need a full-time employee but they do need consistent monthly support.

A VA provides flexible hours and specialist help and you can scale support up or down as your business grows.

- Specialist skills without training costs: Instead of recruiting and training staff, you gain an experienced small business Virtual Assistant who is already fully qualified and can step into your systems and start improving processes immediately.

Hiring a Virtual Assistant for your small business is often the most cost-effective and lower-risk solution. You increase capacity, improve systems and reduce stress without taking on employment responsibilities.
If you’re feeling overwhelmed, that’s already your first clue.

Most small business owners don’t struggle because they lack skill, they struggle because they’re doing everything. Companies have different departments to manage all the tasks that you're juggling on your own. Delegating isn’t about giving away the important stuff. It’s about identifying the tasks that drain your time, energy or focus.

Here’s how to spot what to hand over to a Virtual Assistant:

1️⃣ The tasks you avoid

Avoidance usually means the task is either time-consuming, repetitive, mentally draining, or you just don't like them. The tasks that you always find yourself delaying are strong delegation candidates

2️⃣ The tasks that don’t require you

Ask yourself: Does this task require my expertise, or just my time?

3️⃣ The repetitive weekly jobs

Anything you do regularly — uploading blogs, repurposing content, managing your email list, organising client documents — can often be systemised and handed over.

This is where I specialise: creating streamlined workflows and systems so tasks don’t live in your head forever.

4️⃣ The tasks keeping you from growth

If you’re spending evenings on admin instead of:

- Serving clients
- Developing offers
- Marketing consistently
- Or simply having time off

You’re operating at capacity, not strategically.

What if you genuinely don’t know? That's fine too! During a free discovery call, we look at your current workload, tools and pressure points together. I’ll help you identify what makes sense to delegate first, whether that’s email marketing support, social media management, inbox organisation or backend systems setup.

You don’t need to arrive with a perfectly labelled task list. It's part of my job to help figure out the rest.
Client onboarding: welcome emails, contract sending, and onboarding forms that go out automatically the moment someone books

Invoicing and payment reminders: no more chasing, or awkward emails, clients often pay on the first automated reminder without you having to lift a finger

Appointment booking: let clients book themselves in without all the back-and-forth

Email sequences: nurture new subscribers or leads without writing a new email every time (welcome sequences, lead magnet sequences etc.)

Social media scheduling: plan your content in batches and let it post itself

Lead follow-ups: automatic responses when someone enquires, so no lead goes cold while you're busy

Repetitive admin tasks: things like moving data between apps, sending reminders, or updating spreadsheets
Not if they're done right! Personality is so important, but so is reliability and promptness. So Automate the things that are routine and take up time (sending contracts, booking meetings etc.), I also have an automation that creates my proposals etc but it then notifies me for me to add the personal touch before it goes to the client.

A good automation will work for you to reduce the load, but also keep the client journey in mind
